Lesson 4b - Creating a Digitisation policy

Over the past weeks we reviewed a number of different Digitisation policies and the associated Digital Repositories. This week we will continue with digitisation policies with the view to creating a policy for our own Digital Repository Assessment task/

To develop a digitisation policy, we need to know more about the process of designing and creating a digital repository.

Purpose and Benefits

Activity 1

Read the following article:

10 WAYS THAT DIGITAL ACCESS TO COLLECTIONS BENEFITS MILLIONS OF AUSTRALIANS

What collections were mentioned in the article?

What were some of the benefits?

Criteria for Digital Preservation

Activity 2

Read the following article:

http://www.crl.edu/archiving-preservation/digital-archives/metrics-assessing-and-certifying/core-re

What were the 10 characteristics that were identified?

Building a repository

Activity 3

Read the article: The Emperor's New Repository
http://yalearchivalreadinggroup.pbworks.com/w/file/fetch/92927244/2008-10-chudnov.pdf

What did you learn about building a repository from the article?

Activity 4

Watch the following YouTube Video (this goes for around 40 minutes so we will see how we go with time) - From zero to 50K in 3 weeks - Building a Digital Repository from Scratch, Fast - Brianne Selman

Digital Collections Toolkit

The Digital Collections website provides "practical tools for volunteers and staff in small to medium organisations in Australia that are collecting digital items, undertaking digitisation, and providing online access to their collections." We looked at this site last week when discussing the digitisation process.

Standards

Activity 5

Read the following article on Standards and Best Practice from the Digital Preservation Handbook.

How do these standards relate to creating and maintaining a Digital Repository?

Creating a Policy Document

Activity 6

Read the above articles and think about the following:

What are the risks associated with Digitisation? How can they be reduced?

What are the Laws (legislation) surrounding Digital preservation and repositories?

Are there any standards? Are they Australian based or International?

Outline any Copyright issues that need to be considered when creating and maintaining a digital repository.

What is the Australian Society of Archivists? What do they do?

File Formats

Read the following article:

https://www.ands.org.au/__data/assets/pdf_file/0003/731775/File-Formats.pdf

This is the Guideline for the National Archives.

https://www.naa.gov.au/information-management/storing-and-preserving-information/preserving-information/preserving-digital-information/long-term-file-formats

Activity 7

Discuss the issues relating to Open formats versus Proprietary formats

What is the difference between "lossy" and "lossless" file formats? Which is better? Under what circumstances would you choose one over the other? Are all compressed file formats "lossy"?

Text and Documents

There are a variety of text formats that can be used to save and preserve documents. Some are proprietary, such as Microsoft DOC and DOCX, and some are open, such as ODT or PDF.

Read the following articles on text/document file formats.

https://blog.online-convert.com/popular-document-files-their-differences/

https://en.wikibooks.org/wiki/Choosing_The_Right_File_Format/Text_Documents

https://blog.filestack.com/thoughts-and-knowledge/document-file-extensions-list/

Activity 8

What document format would you choose for text items in your Digital Repository? Why?

Images

There are many file formats available for images. You need to take into account the type of image that you are saving, whether you want a lossy or lossless format, the bit depth and number of colours, and whether it is a vector image or a bitmap.

Read the following articles on image file formats:

https://www.scantips.com/basics09.html

https://99designs.com.au/blog/tips/image-file-types/

Activity 9

What image formats are "lossless"?

What image format should I use if space is an issue?

What image format will give me the best quality image?

You have been cleaning up your old family home and have discovered a box of old photos that you would like to scan and digitise. What format would you use and why?

Music and Audio Files

Most of us think of MP3 files when we think about audio file formats, but there are lots of other choices. Does anyone still own a CD "Walkman"?

Read the following articles on audio formats:

https://www.makeuseof.com/tag/audio-file-format-right-needs/

https://www.lifewire.com/different-types-of-music-files-3134920

Activity 10

Which audio formats are "lossless"?  Is MP3 the best format for music?

You have an old record collection that you would like to digitise. As a music lover, what would be the best format to save them in? What about if space is an issue?

Video

Again, so many choices. While digitising of videos has been around for a while, it is still an area that is constantly changing. File format choice will depend on the quality you want to preserve and how much space you have. Video files can get VERY large.

https://www.archives.gov/records-mgmt/initiatives/dav-faq.html

Activity 11

You want to convert your home movies, currently stored on VHS tape to a digital format. What format would you choose and why?

What format should I choose if I wanted to preserve video that was taken today?
