Lesson 1: Introduction to Digital Repositories

BSBLIB506 Maintain Digital Repositories

This unit describes the skills and knowledge required to populate and manage digital collections of information resources.

This Week's topics:

1 Maintain knowledge of digital repositories
1.1 Research information sources to determine types and functions of digital repositories
1.2 Review organisational procedures on digital repositories to ensure consistency with organisational policies

What is a Digital Repository?

Read the following definition of digital repository.
http://www.rsp.ac.uk/start/before-you-start/what-is-a-repository/

The definition differentiates between an institutional digital repository and a subject or discipline digital repository.  One type of institutional digital repository is a records management system. Many organisations will have a records management system, including Chisholm. Chisholm will scan and store many different organisational files, such as enrolment forms and documentation; invoices and other financial information - pretty much everything that comes in that is paper based. Once stored, they can be searched for and viewed on screen. Originals are only kept for a certain amount of time, which is generally a legal or tax requirement.

The important thing about a digital repository, is that the information is grouped together based on some common ground, and the user has the ability to search and retrieve the information.

An example of a digital Repository - My Story!

This particular example of a Digital Repository allowed me to find out some information about my father and his arrival in Australia. He was one of many refugees/displaced persons who went through the Bonegilla Migrant Centre.  https://www.naa.gov.au/explore-collection/immigration-and-citizenship/migrant-accommodation/bonegilla-migrant-reception-and-training-centre

My Father's name is Jonas Karla. He came to Australia with his parents and younger brother after spending a number of years in a displaced persons' camp in Germany. He was 18. Documents from that time have been recently scanned and made public.

These are my Grandfather's and my Father's travel documents (they have the same name).

What's in the Collection

Class Activity 1

Spend some time having a look at what is available in the National Archives. Look at the guides and follow some people/topics that interest you. Share your findings with the class.

What did you discover of interest?

Why was it interesting?

Other Digital Repositories

State Library of Victoria

Many libraries maintain digital repositories. Here is another example of a public digital repository

This is an image repository maintained by SLV. These images are out of copyright and have been made available for the public to use.

Our State Library has a number of Digital collections that you can explore

Class Activity 2

Explore the SLV collection! Did you find anything interesting?

Class Activity 3

Review the above collections and the associated policies.

Why do they need a policy for their digitised collections?

Does the collection meet the policy requirements?

Should there be more information in the Policies?

How do they compare? Which organisation has the best policies?

Class Activity 4

Find an example of another Digital Repository online and share with the class (you can put URL link in the Zoom Chat)

What is the subject or discipline? What type of information is stored in the repository? How do you search for items in the repository?
